MEETING REGISTRATION AND SIGN‐IN Assisting with registration involves working with staff colleague(s) to assist meeting participates get to the meeting room on time. Meeting registration is in two parts, outside and inside the meeting room.
I. Outside Meeting Room: Meeting attendees will sign in and receive their badges specific for the stakeholder panel meetings.
Duties include:
1. Setting up the registration tables; 2. Greeting meeting attendees when they arrive; 3. Ensuring all attendees sign the sign‐in sheet(s) for the appropriate meeting and receive a meeting badge; 4. Printing a badge if one is not preprinted;
5. Escorting attendees to the room, if necessary; 6. Ensuring all sign‐in sheets are stored securely
II. Inside Meeting Room: Meeting attendees will electronically sign in to be counted as attendees of the meeting and stakeholder voting members (only Gluten in Oats and SPIFAN have voting panels) will be identified and invited to sit at the table.
Duties include:
7. Assist meeting coordinator as needed; 8. Setting up the registration tables; 9. Greeting meeting attendees when they arrive; 10. Advise and assist all attendees to sign-in electronically for the meeting; 11. Escorting attendees to seating, if necessary; 12. Reminding representative voting panel members that they sit at the table when they sign in; 13. Cleaning and packaging the materials and electronics; 14. Ensuring all in‐room sign‐in or working group information are stored securely and provided to the in‐room coordinator after the meeting. Return all iPads to BAV. Please refer to the schedule as Re gistration is scheduled to open at varying times . Please plan to arrive at the registration area and/or the meeting room no later than 30 minutes in advance to assist with set up. Where and when can I register for the Annual Meeting Annual Meeting Registration can be done online at www.aoac.org If I attended SPDS on Friday, do I need to sign in on Sunday for ISPAM? Yes, you will need to sign‐in electronically to each meeting; if have a badge, it will be good for ISPAM or SPDS. Is a particular staff person available? If the person is available and easy to access fine, make the

DURING THE MEETING There are a number of additional details for which assistance may be needed. Duties include: 1. Pass or assist participants to the microphones 2. Greet and seat voting panel members 3. Track tent cards for voting panel members 4. Count votes during motions 5. Run errands (eg., business center, notify for additional chairs and room temperature changes, etc...) 6. Assemble attendees back to the room after breaks 7. Answer general questions There may also be a need to assist with computer work during the meeting and to fill in where needed. PLEASE BE ATTENTIVE!!! To stakeholders in the peripheral seating who need assistance with accessing the Wi‐Fi, the electronic meeting book and/or wanting to address the stakeholder panel. To the head table and if the chair, the staff lead or standards coordinator seem as if they need assistance. Registration opens at varying times, please refer to the schedule .

AOAC Stakeholder Panel Voting Members AOAC INTERNATIONAL (AOAC) assembles stakeholder panels to develop voluntary consensus standards. While AOAC maintains transparency and openness in accordance with national and international guidance and regulations for standards development and its policies and procedures for assembling stakeholder panels, its policies and procedures also ensures that there is a balance of perspectives in reaching consensus.
All stakeholder panels are diverse and can vary in size. Where a stakeholder panel is not balanced or if it is significantly large whereby consensus of the general assembly may be impractical, a balanced representative voting panel will be used to demonstrate consensus. AOAC encourages stakeholder panel participants to participate during stakeholder panel sessions. Any stakeholder can put forward a motion for consideration by the entire stakeholder panel. To ensure that there is a balance of perspectives, a representative subset of the stakeholder panel, the voting members, reach consensus on the voluntary consensus standards. Composition Voting members represent the perspectives of the larger stakeholder panel. The voting members consist of no more than 1/4 to 1/3 of the total number of stakeholders in attendance. Primary and secondary representative voting members are approved. Every attempt is made to approve a panel of voting members that represents all perspectives of the stakeholder panel. In the event of a primary voting member is not able to attend, and no alternate has been approved, the stakeholder panel chair, working with AOAC can provisionally approve an alternate from those in attendance to assure balance and lack of dominance. For stakeholder panels with scopes including diverse topics, the voting member representatives may be rotated to include other stakeholders for successive
meetings to ensure a lack of dominance for any particular stakeholder. Approval Process AOAC may work with the chair of the stakeholder panel and potentially other key stakeholders to develop a proposed representative voting member panel. Following AOAC policies and procedures, the proposed voting members and documentation are submitted to the AOAC Official Methods Board (OMB) for review and approval. The OMB’s review ensures that the proposed panel is balanced in perspectives representing the stakeholder panel and a lack of dominance. Roles and Responsibilities Every stakeholder has a voice and every stakeholder is entitled to state his/her or organizational perspective(s). Consensus is demonstrated by 2/3 majority vote (67%) in favor of any motion. It is important to note: Individual voting members do not have any additional weight, voice or status in stakeholder deliberations than other stakeholders. The role of the voting members is to demonstrate the consensus of the stakeholder panel. Stakeholder panel chair will moderate voting process. AOAC carefully documents the vote. It is important for voting members to be in the room during the time for voting. It is also important for voting members to inform the chair of his/her inability to serve as a voting member.
