Lesson 8 – Sorting Table Data

S ORTING A T ABLE BY M ULTIPLE C OLUMNS  D ISCUSSION

Sometimes it is necessary to sort a table by more than one column. For example, if you are sorting an address list by last name and the list contains two Smiths, you might want to sort by last name and then, by first name. If you include a secondary, ascending sort, Adam Smith appears before Zachary Smith.

When sorting by multiple columns, specify different sort orders (ascending or descending) for different columns.

NOTE After sorting by multiple columns, you may need to select (none) from the Then by lists in the Sort dialog box to remove the second and third sort criteria before carrying out a new sort.

P ROCEDURES

1. Position the insertion point anywhere in the table you want to sort. 2. Select the Layout contextual tab on the Ribbon .
