Welcome to Chivas Brothers.

We want your first experience with us to be a good one. We want you to learn all about our organisation, how we operate and how we do things here at Chivas Brothers and in the wider Pernod Ricard Group.

To helps with this we designed this e-book, which covers the key things you need to know in your first few weeks . It is designed for you to review in sections, allowing you to spend as much or as little time as you like on each subject. This workbook has a combination of video clips, online modules and links to key documents on our company intranet, Chivas Spirit. Please Note – To access many of the pages within the e-book you will need an email address and password – your manager will provide you with this. Please keep it safe.

Even after you have completed the workbook, you will still have access to the information so let’s get started.

The Spirit Journey In the spirit of conviviality , all permanent employees will also be invited to Join The Spirit Journey experience. This is a 3 day programme which will allow you to experience a simulated journey of spirit from distillation through to consumer. It will provide an understanding of how each function in CBL plays a role in the Spirit Journey. The programme will begin on Speyside where you will visit some of our distilleries to understand how our products are made. You will then travel to our Dumbarton site where you will visit our Bottling sites and learn about some of the Marketing processes and other supporting functions. You will also have the opportunity to meet some key people from our business. Transport and accommodation will be provided.

These sessions are run 3 or 4 times a year subject to numbers and you will be contacted shortly and invited to attend the next available session.

Stage 1 and Stage 2 Induction

Your Induction Programme will be in 2 stages. Stage 1 is the Company Wide Induction Programme (this e-book) which all employees will complete no matter where they will be working or what role they are fulfilling. Stage 2 induction will be defined by your line manager. This should include all additional items which are specific to your role. e.g. systems training, procedures etc.

Both stages may be carried out simultaneously , and your manager should outline your Induction Plan with you.

Stage 1 Induction – Day 1 Priority

So what do you need to do first?

There are six key modules which must be completed on your first day . You can access these pages easily by clicking on the titles on the next page.

Each of the modules ends with an assessment. You will be asked to enter your full name in the box provided. The results will automatically be submitted to the Employee Development team or the Health & Safety team.

It is your responsibility to ensure that these modules are completed within the agreed timeframe to meet with regulatory compliance guidelines .

The remainder of the workbook should be completed within 3 weeks of your start date.

We have a legal duty to manufacture our brands and bi- products to ensure customers receive products which are safe, compliant and of the required quality. We all have a legal duty to take reasonable care of our health and safety. Chivas Brothers is committed to the safety, health and welfare of our employees and those affected by our activities.

Her Majesty’s Revenue and Customs

Her Majesty’s Revenue and Customs (HMRC) is a government body that regulates the production, storage and movement of spirit and ensures the payment of appropriate duty. Chivas Brothers is a multi-national manufacturer/ distributor of spirit, therefore everything we do, and every process we have is regulated and monitored by HMRC.

Legal & Compliance

Pernod Ricard is committed to working against corruption in all its forms, including bribery. As part of this Pernod Ricard has

developed a Group Anti-Bribery Policy and developed a Gifts and Hospitality Policy. It has also decided that all employees will undergo anti-bribery online training .

Through these initiatives Pernod Ricard aims to ensure that all employees and, so far as possible, those who perform services for Pernod Ricard, comply with anti- bribery laws.

The Marketing Department is the guardian of our brands' public image, and are responsible for developing all externally facing communication material from advertising, and new packaging ideas, to merchandising displays and retail promotions. The Marketing Department is organised into four Brand Teams : Chivas Regal, Ballantine’s & Introduction to Scotch, Prestige and Malts. and Each team is responsible for all communication materials relating to their specific brands. There is also a Marketing team looking specifically at Strategy, Business Development & Services. Chivas Brothers invest a large amount of time, money and effort in the marketing of our products. These include global advertising campaigns using iconic designers and celebrities to help promote our products.

The i-zone is CBL’s on-line learning portal .

Developed jointly with Ashridge Business School, the aim of the i-zone portal is to provide an exciting range of on-line learning options.

Another way in which we develop and support our people is through our internal Mentoring Programme.

The transference of wisdom, knowledge and experience from mentor to mentee is an age-old process that is capable of delivering outstanding value to both parties and, in the business world, to the organisation that employs them.

Pernod Ricard University (PRU) are the Group’s central Learning & Development resource.

PRU have created a selection of online learning activities called MOOC's, which help employees improve their knowledge on a variety of different subjects.

Chivas SOS is our Employee Volunteering Programme which provides every employee with the opportunity to carry out volunteering work in their local community. By participating in this programme we are sure employees will gain a high level of satisfaction knowing that they have made a difference to those who are in need of support.

Chivas VIP – Valuing Individual Performance

At Chivas Brothers we have a reward and recognition scheme known as VIP - ‘Valuing Individual Performance’.

The programme is designed to recognise employees who have gone the extra mile and delivered above and beyond expectations .

The process for requesting holidays is through the use of the My Options system.

This is also used to manage your time away from your normal place of work e.g. visiting other sites, offsite meetings etc

Smart Working

Some areas of the business are eligible for Smart Working.

Smart working will give you the ability to choose , within agreed parameters, when, where and how you work.

You should have been advised in your contract if you are eligible, but if you are unsure please speak to your line manager.

Online Payslips

You will be able to access your monthly payslip online. Once you have registered on the website you will be able to view your payslip from your PC, tablet or smartphone at any time or place that is convenient for you . Register using the link below. This will become available 1 to 2 days prior to your first pay day https://portal.graffitipay.com/app/register/chivas/

You will need to provide your name and National Insurance number and will be asked to create a unique password which is case sensitive. Trading Post An additional benefit that all permanent employees receive is a Product Allowance allocation. You will receive a monetary allocation, twice a year, to enable you to purchase Company products – once in the spring and once in the autumn.

For employees working on a part-time basis the allowance will be reduced pro-rata in line with the number of hours worked.

All Product Allowance orders are placed using the online shopping tool - Trading Post , which is accessed via the Resources section on Chivas Spirit. Click here to have a look at Trading Post. In addition employees may purchase our products throughout the year. There is a monthly limit of £150 from December to August which rises to £300 for September to November. This is also accessed via Trading Post and is known as Employee Sales .

Both Pernod Ricard and Chivas Brothers have their own intranet. When you first launch internet explorer on your pc it will default to the Pernod Ricard intranet known as My Portal . Here you will find information about all areas within the Pernod Ricard Group including News, Marketing campaigns and the current Share price.

So every one of you, wherever you work, whatever your role, can now access digital content on the Chivas Spirit website through your own company tablet. You can even choose to log in at home, if you have a Wi-Fi connection. You will have already had a chance to look at Chivas Spirit. Our intranet which will help make our communications with you more simple and direct. To allow easier access to the site, all permanent employees will be provided with a Company Tablet .

You should receive your tablet within your first couple of weeks, and once you are setup you could view this e- book from there!

Again – you may need to login to be able to access all the relevant functions on the tablet.

Additional Health & Safety Information

A few other considerations in respect of Health & Safety should form part of your Induction with us.

Many of you will be working at a computer screen for all or part of your day. It is essential that you have a ‘Display Screen Equipment’ (DSE) Assessment to ensure your workstation is setup correctly. Your manager should arrange this with a local DSE Assessor . If you haven’t had one in your first few weeks, please speak to your manager to have one arranged. Four additional items of training will be added to your Health & Safety Learning Plan . These are Toolbox Talks and should be delivered as a briefing via your Line Manager.

The four subjects covered are:

• CoSHH Toolbox Talk • PPE Toolbox Talk • Spillage Toolbox Talk • Waste Toolbox Talk

IT systems required for your job should have already been requested, login details will be provided by your line manager on your first working day. Please Note – To access many of the pages within the e- book and on your tablet you will need an email address and password – your manager will provide you with this.

Setting Objectives

As you already know, as part of the Performance Management process, you will agree objectives with your line manager . Depending on when you join the company, you will agree on what is achievable in the short term , ie between now and the end of this performance year.

These should still be stretching goals, but also realistic, bearing in mind you will still be developing in the role . Even if you join at the start of the performance year, your objectives should be SMART – with the focus on what is realistic in the first year.

You and your manager should also work together to identify your development needs both in the short term and long term. This may be formal training courses, or maybe more on the job training. Some of these may be covered in your Stage 2 Induction , as they are essential to help you in your role.
