THE CHALLENGE

Archives are comprised of documents ordered along some principle of organisation, based on catalogued metadata that facilitates search and retrieval. The larger the collection of documents, the more important the metadata is for nav- igating and deriving value. Many archives transitioned from physical management to digital in the late 1980s and include both analogue and dig-

We provided expert archival organisational services to help a government client optimise the value of its large and diverse archive. The 20-year-old archive, consisting of both digital and physical copies, had been maintained in several generations of systems. The client wanted the entire archive to be collated and preserved digitally. To provide cohesion between their diverse data types and systems, we created the archive catalogue for the entire period by extracting and collating the metadata from all the records management databases that had been in use. The paper records were then digitised (with rich metadata extraction) to complete the catalogue. The final result was a complete and functional catalogue and document repository, enabling advanced searchability and a sustainable archival strategy.

It is a task for archivists, librarians and museum experts to make sure that these originals are stored in the best condition possible and carefully preserved for future generations to enable not only research and learning, but also the physical connection to the past. It is a sad fact that cultural heritage in its physical form is subject to the processes of aging and deterioration. These natural processes can accelerate considerably due to exposure to unfavourable conditions, such as unsuitable temperature and humidity, sunlight, acids causing disinte- gration of paper fibres, moulds, fungi and insects, dust and dirt, or damage caused by human activity such as moving the objects or displaying them at exhibitions. There is also a risk of permanent damage, losing of some of the objects, sometimes even losing complete collections to the ele- ments of fire or water.

Centuries-old cultural heritage has been saved and stored on physical carriers, such as parchment, paper, or film neg- atives. Priceless collections of documents, books, pho- tographs or films bear witness to our past and help build identity of communities and individuals alike. They are our civilization’s heritage and reflect its attainments, such as creating a system of written language, inventing photogra- phy and film, as well as contributing to science, culture and art throughout the millennia. Digitisation of archives greatly improves their accessibility and facilitates browsing through the collections to an ex- tent unimaginable before. However, caring about the origi- nal copies should not end here. To a great extend it will be these original copies that are, and will remain, our cultural heritage. In many respects they are invaluable – not only as the carriers of the content, which can be extracted and

We provided boxes specially designed to store a few hundred thousand glass plate negatives to Fratelli Alinari in Italy, which is the oldest photography archive in the world. We suggested an initial idea of the construction of the boxes, which, during the course of cooperation, was modified as to the minutest details according to the client’s wishes – the archive received and had an opportunity to sample over a dozen prototype boxes. We suggested boxes with compartments, which are a great choice for vertical storage of fragile glass negatives – a few pieces at a time in separate compartments. The boxes were made from top quality solid board, dedicated specially to the purpose of long-term storage of valuable collections. The design of the boxes was consulted with, and approved by, representatives of the culture ministry of Italy. As a result of this cooperation, we provided an optimal storage solution for over 300,000 unique negatives.

THE SOLUTION

Storage products used for long-term archival storage are made from top quality materials and comply with the re- quirements of international standards applied in archival in- dustry, such as ISO 9706, ISO 16245 or Photographic Activity Test (PAT). For boxes and folders, we strongly recommend solid board, which protects collections much better than corrugated board in the event of fire or flooding. All raw ma- terials used to produce our storage products are acid-free. Our service includes: • based on many years’ experience, comprehensive consult- ing and advice choosing optimal archival storage products for a given type of collection; • choice of optimal construction and material of the storage product; • help taking measurements of the objects to be stored; • providing samples of storage products, free of charge and without obligation; • quick price estimation, free of charge; • supplying single units or short series of archival storage products in special formats or of non-standard construc- tions produced by means of digital plotters; • supplying large series of storage products, produced with die-cutting technology; • design of and supplying custom-made individual storage products, according to the client’s preferences and provided measurements.

As we are learning more and more about the factors caus- ing disintegration of parchment, paper, film or photograph- ic materials, “preventive preservation” is becoming crucial. This term refers to ensuring suitable archival storage condi- tions and damage prevention. The most important aspect of “preventive preservation” is, besides the right conditions of archival rooms’ environment, a suitable archival storage product. Piql provides comprehensive support so that the client can decide on the best manner of securing the originals in storage products which will protect their contents against accelerated disintegration caused by acidification, light, me- chanical damage or insects. These products also minimise negative effects of events such as fire or flooding. Optimal preservation of collections is based on a wide variety of archival storage products: boxes, folders, enve- lopes and enclosures dedicated to various types of prod- ucts, such as photographs (historic or contemporary), glass plate negatives, negative film strips, films, VHS tapes, paper documents, books as well as various museum objects, from very small objects, such as coins or jewellery pieces, through items of daily use, to large objects, such as historical cos- tumes or banners. Books hold stories and information critical to our heritage. In published form, they become vulnerable to natural elements and decay over time. Many older books and its contents are now at risk of being lost forever if they are not dig- itally preserved. With the ever-increasing demand for e-books and mass digitisation projects by well-known libraries, books that are not digitally available are now almost doomed to stay on a shelf. USECASE

A body established by the Government of India, with a core purpose to produce and encourage production of good literature, wanted to unlock the digital potential of its books. The primary objectives are preservation, improved accessibility (for scholars, researches, academics) and enhanced searchability of con- tent. The organisation is in possession of some very old, fragile and deteriorating books, which can only live on through digital preservation.

We set out to digitise books, design an innovative e-commerce platform and a mobile app for extending it to a broader audience.

Through our leading restoration and digitisation services, the collection was first converted to digital publica- tions. These eBooks could be translated to multiple languages and are compatible with a range of devices. Starting with an interactive table of contents, features included chapter previews, text highlighting, annotation & page flipping. Metadata was attached post OCR to make books fully searchable. The customised document management system allowed our client to maintain a digital archive as well as a commercial eStore. The digitised books could also be secured on piqlFilm for long-term preservation.

We provided film restoration services for a large number of famous films held by a national film archive, including animated films and documentaries.
