11. When using the word Caller and Manager, capitalize the words Manager and Caller when you are using the word in place of the person’s name. You DON’T capitalize it if you have the word “the” before it.

Use these words instead of the sales person’s name and the words I or we. For example:

Manager called and spoke to ...

OR The manager called and spoke to...

Caller responded by asking…

OR The caller responded by asking…

12. The fact we offer “suggestions” is really one of our BIGGEST points of difference to our competitors and is often why hotels choose us vs. the competition to do their reports. Therefore, it is very IMPORTANT that we take care when writing the suggestions to make them good ones. 13. Because you do report after report after report, it can become easy to suddenly be writing the same exact recommendations in the same exact way. Please keep in mind that the corporate office of our clients frequently read the reports for multiple hotels. They will often read them all together. We don’t want them to read 3 reports from the same shopper and feel like the report is identical to the one before. This can give the impression that we are “copying” and “pasting” comments from one report to another. So it’s important to be careful of that. Try to vary slightly your comments and which examples you use and vary the examples we give. Once you are conscious of this, it’s easy to do and still quickly type the reports. 14. Be detailed in your suggestions. Don’t just give a quick sentence pulled from our examples or pulled from your standard spiel. Sometimes we need several sentences and recommendations to explain why a particular skill is so important. Again, this gives value to the report, makes the customer feel the report is excellent, and keeps them coming back for more!

15. Now, more than ever, we need to provide great price-value to the clients and great product and service. Everyone is cutting expenses. We are an easy expense to cut. We need them to feel that they can’t do without our reports because they are so helpful to them. So what you write in the report and how you write it makes a HUGE difference.
