Proofing Reports

o Ensure you have reviewed the Shopper Checklist if applicable.

o Before you start proofing, look at the overall score so you are aware of what it is as you read the report. Does the overall score make sense when looking at the comments in the report? ( Scores will only calculate once all boxes are checked) o Do the ratings make sense for the comments? When reading through, please look at the ratings and read the comments. If the rating is poor, be sure it is clear why when reading the comments. If the rating is average or good, but a few things were missed, can the reader tell this in the comments? If the rating is excellent, do the comments give a quick positive reinforcement?

o Use the Show/Hide feature to review spacing between sentences (2) and between words (1) - this button is on your Microsoft Office tool bar and will look like a backwards P

o Be careful you have not used the word Manger vs. Manager.

o Ensure all boxes are checked.

o Use the Spell Check tab located on the template tool bar.

o Ensure Caller and Manager are capitalized appropriately.

o Check that the comments are detailed enough.

o Ensure phrasing of recommendations is positive - i.e., Manager may want to... We suggest the manager also.... We recommend that the manager... The manager may want to consider .....

o Calculate scores if a final report ( Note: report graphs are completed by the HSI office staff)

Printed Copy to Review

o We recommend printing a copy of the full report and put aside for a few hours;

o Read each page for content, punctuation, capitalization, grammar, missing words, typos

o Read the commentary for flow and ease of understanding

o Ensure the boxes checked support the written commentary!!

o Make edits to the report

o Spell Check and Calculate Scores a final time.
