Welcome to Step 3

The likelihood is a member of the new business team, or a client manager have sold a piece of work which requires specific expertise or additional design resource. And so we have approached you to help co- design an intervention – and this might have been early in the sales process. If you are involved in re-designing or co-designing new material or new programmes, whether for an existing client or at the proposal stage for a new client, here is some guidance.

Orientation completed  Step 1 completed  and now you’ve chosen to offer your design expertise into the team. Co-creating can spark innovative ideas and create a platform for you to promote your expertise.

Process

Here’s the process in brief:

 Agree the deliverables and collaboration process  Take the brief from the client manager or project manager  Search the current knowledge management (through the Client Solutions Team)  Co-create using templates and version control  Assist with the client approval process or content edit requests  Hand over to Client Solutions for any further context or ‘finishing’ (graphic design, proof reading)

 Confirm the detailed intellectual property arrangements  Be available to assist with Train the Trainer on the content if needed

Brief

The brief will include:

Detailed background including audience, language, scale, terminology, organisational environment, constraints which must be understood before embarking on a design which will achieve the objectives of the programme. At this point it is essential to discuss with the client manager/project manager and Client Solutions what key Primeast deliverables need to be included.

Working with our Client Solutions Team

The Client Solutions Team can search our knowledge management library for material to support the design of new interventions, whether that is:  Templates  Concepts, models and ideas  Tools and techniques  Activities, role plays, case studies, e-learning  Books, research papers, articles, videos  Previously designed programmes (facilitator guides, timetables, presentations, participant workbooks or handouts) They will be your primary point of contact and will manage this part of the process with you and the client partner. They will ensure it fits with our brand, proposition and quality process.

Important - Version Control Whenever we collaborate as a design team we run the risk of working on parallel versions. Wherever possible use the latest document held centrally in MS Teams.

We name our documents following this protocol:

V0.1 - V0.xxx Drafts in progress in house V1.0 Final document sent to client

V1.1 Minor amends to wording, images in progress V2.0 - V2.xxx or V3.0 When major changes have been made to content, running order etc. and sent for use with client

Intellectual Property In our industry it is easy to fall into IP disputes because much of the material we work with is ‘in the public domain’ and on websites etc. However we should not assume that because the work has been published or is on the internet it is free for anyone to use – it may have been reproduced under licence. We want to ensure we do not fall into a dispute and need your help. Please ensure all permissions are in place for any material you take from other sources and that they are referenced or credited. Also, because the work is being commissioned by us or by a client, the IP is automatically assigned to us to re-use unless a restriction is requested by a client. On some contracts we may have agreed to assign newly created IP to a client.

Even more restrictive are those materials which can only be used by accredited practitioners. This is fine if you are the accredited practitioner, but for global roll-outs we need to ensure we have those accreditations in place in the network of associates.

Other Design Considerations

When creating a learning programme consider the following:

 Does it work globally if appropriate (culturally appropriate, language available and logistically feasible)?  Does it contain elements which required licenses or accredited practitioners to deliver?  Will the client services team need training on administering tools?  Are the costs and prices of the tools and administrative time included in the proposed budget and deadlines  How will you measure the effectiveness of the design for learning and impact (what indicators should be evident as a result of the programme)?

Case Studies

The danger is that we complete an excellent piece of work and move onto the next opportunity without capturing what went well for further marketing. Involving a client in creating a case study is another opportunity to have the client review successes. If you’ve been involved in creating something good, capture the story to share and promote more opportunity. It can often open a discussion for the next piece of work too! If there’s nothing on the horizon, it’s an opportunity to ask our contact for a referral to a colleague in the client organisation.

Reward In line with the Primeast values we believe in rewarding our associates who are involved in content development. We can do this in 2 ways:

Please ensure your discussions on fees or royalties are clearly understood and documented in any work instruction or work order. It is the responsibility of the Client Services team to monitor and activate commission payments so they need to know the agreement that has been reached. The Client Services Co-ordinators will provide a Purchase Order clearly itemised for you to invoice us for these additional payments.

1.Agree a daily or hourly rate and a finite number of days/hours or

2.Agree royalties on a piece of co-designed work, this may be paid as a repeater fee for each time the programme is delivered if it is for high volume repeat work delivered by other facilitators. Any commissions or royalties calculated as a percentage applies to fees only (ie not total income which may include materials and expenses) and are paid quarterly in April, July, October, January for periods ending March, June, September, December.
