INTRODUCTION

A LETTER OF WELCOME FROM THE CONFERENCE CHAIRPERSONS

The 7th edition of the International Congress on Innovative Approaches in Head and Neck Oncology (ICHNO) is taking place in Barcelona, Spain from 14-16 March 2019. The European SocieTy for Radiotherapy and Oncology (ESTRO), the European Head and Neck Society (EHNS) and the European Society of Medical Oncology (ESMO) have the pleasure to invite you to participate in this congress. This biennial congress promises once again to provide a unique platform for the dissem- ination of the most relevant and cutting-edge science and innovation in the field of head and neck oncology. This congress has been shaping up to be a major international event in promoting multidisciplinarity in head and neck oncology. With major emphasis on multidisciplinarity and innovation, this meeting will specifically cover the following main topics: • New insights in the epidemiology and prevention of head and neck cancer • Oncogenesis, HPV related cancers, immunology and vaccination • Updated results of practice changing randomised trials • Multidisciplinary management of head and neck cancers • Molecular targeted therapies and molecular imaging • Novel radiation and surgical treatments • Towards individualised management of head and neck cancer • Robotic and minimally invasive surgery • Reconstructive and salvage surgery • Elderly patients, comorbidities and their impact on management • New insight in systemic treatments of head and neck cancers • Thyroid, nasopharynx cancers and rare head and neck cancers • Quality of life, supportive care and management of treatment side effects The format of the meeting will include prestigious invited ‘state of the art lectures’; lectures on the latest innovative approaches; proffered papers and poster presentations of new data in the field of head and neck oncology. The programme will be enriched by pro and contra debates and interactive tumour board sessions where the audience will have the possibility to participate and share their input via an electronic voting system. Ample time will be

given for discussions to allow in-depth interaction among the various disciplines and the participants. To stimulate multidisciplinary interactions among the various specialists, all the lectures, debates, tumour boards and proferred papers will be given in the same congress room. We hope that the mix of a rich and challenging scientific programme coupled with the en- ticing atmosphere of the city of Barcelona will convince you to attend this 7th International Congress on Innovative Approaches in Head and Neck Oncology.

GUIDELINES FOR SUBMISSION OF ABSTRACTS

ABSTRACT SUBMISSION DEADLINE: 15 OCTOBER 2018

GENERAL INSTRUCTIONS Abstracts must be submitted on-line on the ESTRO website at: www.estro.org.

• Certifies that the information to be reported is for exclusive presentation in the session to which the abstract will be assigned if accepted and that the information will not be presented as such at any commercially sponsored satellite symposia during the conference Abstracts must be submitted and presented at the conference in English. The Scientific Committee reserves the right to reject an abstract written in poor English. Abstracts will be anonymised before review to ensure fairness and eliminate possible bias. Therefore, it is strictly forbidden to include the authors’ names or institutions in the body of the abstracts. Submitted abstracts that include such references may be penalised by the Abstract Reviewing Committee.

REGULATIONS With the submission of the abstract for 7th ICHNO congress, the corresponding (presenting) author: • Accepts responsibility for the accuracy of the abstract and ascertains that all authors are aware of the content before submission • Accepts to be the contact person for all correspondence related to the abstract and to inform the co-authors about its status • Accepts to identify any financial interest in products or processes described in the abstract. This includes stock ownership, membership on any advisory

reserves the right to re-categorise the abstract. • Presentation preference: authors should indicate the presentation preference (oral, poster or no preference). Please note that the final decision on the pres- entation format rests with the Scientific Committee. • Keywords: authors are required to provide 1 to 3 keywords (different from category). • Title: Abstract titles should be brief and reflect the content of the abstract. The title (maximum 100 characters) is important since it focuses attention (it is the “showcase” for the presentation). Do not use capital letters in the title except for words that are always capitalised and do not use non-standard abbreviations. • Body of the abstract: Abstracts should be structured in such a way as to include (1) Purpose/Objective; (2) Material/ methods; (3) Results (4) Conclusion. - The on-line abstract submission pro- cedure: the on-line abstract submis- sion system will not accept abstracts that exceed 3,000 characters (body of the abstract, including spaces). - The use of standard abbreviations is desirable. A special or unusual abbreviation must be placed (in round brackets) after the first appearance of the word for which it stands. - Table and image: with their submis- sion authors may include maximum two (2) uploads (tables or images) in JPG, PNG or TIFF formats. These up- loads are not included in the number of characters. The maximum pixel

size of an image is 600(w) x 800 (h) pixel. • Data table: authors may include one data table using the insert table icon (we advise not to copy-paste a table into the body of the abstract). The characters in a data table are included in the overall number of characters allowed. • Equations: can be inserted in the text as images. ABSTRACT SELECTION PROCESS Abstracts submitted for presentation will be reviewed by an international panel of experts in the field of the subject. Abstract review criteria are based on clarity, supporting data, scientific rigour, potential significance, interest in the topic chosen and innovation or usefulness. Research obviously not yet performed and results not yet obtained will be banned. Abstracts will be selected for one of the following presentation formats: • Oral presentation: the abstract is select- ed for oral presentation at any of the proffered paper sessions. • Poster presentation: abstracts that have been selected for presentation in a post- er format. The posters are grouped by topic and are displayed throughout the meeting. Withdrawal of an abstract: Abstracts submitted for the 7th ICHNO congress can be withdrawn until 1 November 2018. (To withdraw your abstract you

should send an email to abstracts@ estro.org). After this date, withdrawal of abstracts is no longer possible. Abstracts selected for oral / poster presentation should be presented at the meeting. CME ACCREDITATION The conference organisers will apply for CME accreditation with the European Accreditation Council for Continuing Medical Education (EACCME). Through an agreement between the European Union of Medical Specialists and the American Medical Association, physicians may convert EACCME credits to an equivalent number of AMA PRA Category 1 Credits TM . Information on the process to convert EACCME credit to AMA credit can be found at www.ama- assn.org/go/internationalcme. TRAVEL INFORMATION How to reach Barcelona from the Airport Taxi El Prat International Airport is approximately nine miles (14 kilometres) south- west of the centre of Barcelona and taxis are available at the airport 24 hours a day. It takes roughly between twenty and forty minutes into the centre of town and the fare is about €30-45; tariffs can vary according to the time of day and supplements (e.g. luggage). The fares should be displayed in the taxi and the amount payable should be indicated on the meter. Aerobus AEROBÚS is the official shuttle bus service that connects the airport BCN-El Prat and the centre of Barcelona every 5 minutes, every day of the year, in approximately 35 minutes. This is the fastest way to reach the city centre with public transport. Passengers are able to travel between any of the two airport terminals (T1 or T2) and

Metro The subway or metro now connects both terminals of the airport with Barcelona underground network. The line is called L9 Sud. There are stops at T1 (inside the building) and T2 (outside the building, next to train station): in both cases follow the signs.

Train You can catch the train from Clot, Passeigde Gracia, or Barcelona Sants (Sants Estacio). The name of the stop for the airport is Aeropuerto. If travelling from the airport to the city centre you can get off at Barcelona Sants, Pas- seig de Gracia or Clot which are serviced by metro stops. From these you can change for the Barcelona metro underground system to go to your final destination.

CONFIRMATION OF REGISTRATION Upon receipt of your registration form, a confirmation of your registration will be forwarded to you electronically.

CANCELLATION OF REGISTRATION In case of cancellation, full refund of the registration fee minus handling charges of 15% may be obtained up to 3 months before the meeting. Between 3 months and 1 month before the meeting, the refund will amount to 50% of the fee. No refund will be possible if the cancellation is postmarked after 14 February 2019.

ORAL COMMUNICATION AWARD | € 1000 An Oral communication award will be given to the best abstract selected as proffered paper. The award will be selected by the 7th ICHNO Scientific Committee.

Criteria for selection Only abstracts accepted as proffered paper for the 7th ICHNO conference will be considered for the award.

How to apply No application is needed. You are automatically considered if your abstract is accepted. The award will be handed out during the closing remarks of the conference on Saturday, 16 March 2019.

POSTER AWARD | € 1000 A Poster award will be given to the best abstract selected for the conference as poster presentation. The award will be selected by the 7th ICHNO Scientific Committee. Criteria for selection • Only abstracts accepted for poster presentation for the 7th ICHNO conference will be considered for the award • Posters are evaluated on (in decreasing order of importance): the scientific value of the data; the clarity of the presentation; and the visual quality of the poster layout • Priority will be given to posters from young investigators. How to apply No application is needed. You are automatically considered if your abstract is accepted. The award will be handed out during the closing remarks of the conference on Saturday, 16 March 2019.
