TECHNICAL SPECIALIST – ACADEMIC & STUDENT AFFAIRS

Characteristics of Work: The Technical Specialist – Academic and Student Affairs will provide a full range of advanced and complex administrative support to the Division of Academic and Student Affairs. This division supports Athletics, Adult Education, General Educational Development (GED) services, and the Commission of Proprietary Schools and College Registration (CPSCR). The incumbent also must exercise independent judgment in a dynamic environment with conflicting priorities requiring a high degree of flexibility, discretion, and tact in handling sensitive and complex issues. Examples of Work: The following examples are intended only as illustrations of the various tasks performed by the incumbent in this position. These examples are not meant to be exhaustive; they are representative of the general functions of this position. 1. Serve as the liaison to the Chief Academic Officers, Student Affairs Association, Student Aid Administrators, and the 15 public community and junior colleges in areas including, but not limited to maintaining minutes, the uniform course numbering system, class minutes calendar, membership lists, and website. 2. Interact frequently with all levels of management internal and external to the agency. 3. Represent the Academic and Student Affairs Division in daily issues to gather, clarify and disseminate information. 4. Manage complex calendars, independently setting priorities when scheduling appointments. 5. Plan and coordinate complex meetings with both high level internal and external contacts. 6. Compose correspondence for management’s signature; review, prioritize and direct mail; disseminate and track action items and ensure deadlines are met. 7. Prepare, compile and coordinate complex administrative reports. 8. Keep division directors informed on key issues. 9. Assist Director of Affiliated Activities with the coordination of the Mississippi Association of Community and Junior Colleges (MACJC) and Athletic Directors’ meetings. 10. Assist Director of Affiliated Activities with reviewing and updating Athletic Handbook. 11. Assist Athletic Directors and Coaches with the Athletic Tracking System. 12. Assist with the tracking of the legislative system. 13. Compile and update financial reports for the MACJC, maintain minutes for the MACJC, MACJC Athletic Directors, and Athletic Appeals. 14. Participate in agency enrollment audits and civil rights compliance visits. 15. Assist the Front-line Administrators to field incoming calls, distribute mail, and log incoming checks. 16. Attend Chief Academic Officers’, Student Affairs Association, and Student Aid Administrators Association meetings. 17. Perform other duties as assigned. Minimum Requirements: High school diploma or GED and three years of related experience. Two years of higher education in a related field may be substituted for one year of relevant experience.

Special Experience Preferred: Microsoft Office skills, typing proficiency, computer word processing, ability to transcribe minutes, strong office management skills, customer service skills, attention to detail and critical thinking skills.
