ICMARC Associate Handbook August 2016

Office Safety and Accident Avoidance All associates should keep their work areas clean and free of clutter and obstructions, such as boxes or piles of paper on the floor. Pushing a chair under the desk, closing a file cabinet door when not in use, and reporting broken or damaged furniture and office equipment are only a few of the actions you can take to ensure your work environment is safe for everyone. If you work evenings or weekends, you should always take a few extra minutes before leaving the building to ensure that copiers, coffee pots, etc., are turned off. Note that computers should be left on, but associates should log off prior to leaving for the day.

Note: Building management prohibits the use of personal fans, coffeemakers, portable heaters, and other small appliances within ICMA‑RC’s office space. Corporate Support Services must approve any exceptions.

Suspicious Packages and Mailing Regulations A U.S. Postal Service poster describing various types of suspicious packages and mail items is posted in the Mail Center. If you encounter a suspicious or abandoned package, you should notify Corporate Support Services immediately so that appropriate action can be taken to identify the package and handle the situation. For details, see this policy at my.icmarc.org — under the Services tab, select Corporate Services. Lost or Stolen Property Instances of loss or possible theft of ICMA‑RC assets or personal items should be reported immediately to Corporate Support Services, Human Resources, or building security. You are strongly encouraged not to leave money or other valuable personal items in an unsecured place. ICMA‑RC is not responsible for personal items that are lost, stolen, or damaged in the workplace or while an associate is traveling on business. If you need a key to your desk or workspace, contact Corporate Support Services. Fire Alarms and Evacuation of the Building ICMA‑RC office space is equipped with a fire alarm system that automatically notifies the fire department when activated. The alarm system is also used to evacuate the building for other emergency reasons. When the fire alarm sounds, all associates must evacuate the building as quickly and safely as possible using the designated stairwells. When descending the stairs, keep to the right so that emergency personnel can ascend if necessary. Do not use the elevators. On occasion, a test of the building evacuation procedures will be conducted. The Corporate Support Services manager will generally notify associates when a test has been scheduled. Tests of the evacuation procedures should be taken seriously, and — unless instructed otherwise by Corporate Support Services — you are required to leave the building in the appropriate manner and go to your designated gathering place to report to your supervisor or other designated individual. LOST AND FOUND At headquarters, the Building Lobby Security Station serves as the location for lost and found items.
