3 During your waiting period for short-term disability insurance and to supplement the level of short-term and/or long-term disability pay. (Note: Your own illness lasting longer than 14 days may be eligible for short-term or long-term disability benefits.) 4 Extenuating circumstances related to grieving, funeral, or memorial services of a family member as defined in the bereavement policy, such as delayed interment or where the associate may be serving as executor of the estate. These situations must be coordinated by Human Resources and may require documentation. Other examples of the appropriate use of extended leave include maternity/paternity leave as well as absences that are reasonable accommodations under the Americans with Disabilities Act.

General Issues and Provisions regarding Sick Leave Leave without Pay

An associate who has exhausted leave from the annual sick leave bank may be allowed to take leave without pay. In these circumstances, however, you may be eligible to use leave from the extended leave bank in lieu of leave without pay. (Please also refer to the following section on use of vacation leave.) Determination of whether the time will be considered leave without pay or extended leave will be based on individual circumstances, the number of unscheduled absences, and other factors. A review conducted by your supervisor and Human Resources will be necessary and may include consultation with you. USE OF VACATION LEAVE If you exhaust annual and extended sick leave, you may be able to use vacation leave in lieu of leave without pay. For additional information, contact Human Resources. MAKING UP FOR MISSED TIME In certain circumstances, it may occasionally be possible for you to make up time missed instead of using sick time. You should discuss this possible option with your supervisor. Accommodations will be made as appropriate. A review conducted by your supervisor and Human Resources may be necessary. You should not automatically expect to be able to make up time used for sick leave. The option to make up time is the exception, not the standard.

Note: Nonexempt associates who have received their supervisor’s approval to make up for missed time must do so within the same workweek to ensure compliance with overtime policies and procedures.

SHORT-TERM AND LONG-TERM DISABILITY An associate who is out for more than 14 calendar days due to an accident or illness may be eligible for short-term and long-term disability benefits. ICMA‑RC provides both short-term and long-term disability insurance to associates at no cost. Contact the Benefits Department in Human Resources for more details. Contact your supervisor or Human Resources if you have questions regarding sick leave usage or policy.
