ICMARC Associate Handbook August 2016

Up to three days of leave with pay may be taken for the death of immediate family members, which include a spouse, partner, child, parent, brother, sister, grandparent, grandchild, stepparent, stepsister, stepbrother or stepchild (related by blood, marriage or domestic relationship). Up to one day of bereavement leave with pay may be taken for extended family members, which include an aunt, uncle, niece, nephew or first cousin. An exception is made if the relative lived with you, in which case the policy for immediate family would be followed. Your supervisor, consistent with business needs, may authorize additional leave, first charged to your extended sick leave bank and then, if needed, to your sick leave accrual if this amount of time is not adequate — such as for attending funerals out of town or out of the country, delayed interment or where you may be an executor of the estate. Reporting You may be asked to provide your supervisor with a copy of the death notice or funeral program to confirm the bereavement leave. Recording Bereavement Hours You should record bereavement leave on the time report under the leave category entitled “bereavement leave.” Any extended leave used for this purpose should be recorded as extended leave. JURY DUTY Regular full-time and part-time associates are entitled to leave with regular pay for jury duty performed during regularly scheduled work hours. If you are summoned for jury duty, you should present a copy of your summons to your supervisor to discuss the time you will be away and to plan for regular notifications. If you find you will be away for longer than the time indicated on the summons, you should advise your supervisor as soon as possible so arrangements can be made to cover the workload. Reporting During the period of jury service, you should report to work on any days or partial days that jury duty is not required and must report immediately to work at the conclusion of your service. You should submit all documentation of your actual jury service to your immediate supervisor and to the Payroll Department. Recording Jury Duty Hours You should record jury duty leave on your time report under the leave category entitled “jury duty.” The regular hours you would have worked had you not been on jury duty should be recorded on the time report. In addition to being paid your regular pay for jury duty hours by ICMA‑RC, you may keep any compensation provided to you for your jury duty service.
