CORE INFORMATION
Incidents / Incident Report Form Completion
The Electronic Incident Report must be completed on the day of the Incident or enforcement visit this is automatically forwarded to the Safety Assurance Team. The IRF must also be completed following visits from an enforcement officer, for example EHO, Trading Standards Officer, Police, Licensing Officer. The outcome of the enforcement officer’s visit must also be reported. The IRF must be completed as soon after the event as possible. Incident Report Forms (IRF) must be completed for all incidents which occur on Company premises such as accidents, fire, explosion, storm damage, flood, vandalism, theft, violence, alleged food poisoning, dangerous occurrences.
All records of incidents are retained on the Business Checks System and can be retrieved using the Business Reports function.

Hotel Specific Due Diligence
Hotel rooms pose several risks different to our pubs & restaurants. There are separate Hotel Specific Period Business Checks. This is found in the Period Checks on the Blue Sky system. Checks are needed for the following: Legionella This is a bacteria that grows in water which causes respiratory illness which can be fatal to the old and young. We need to check water is the right temperature to prevent growth. Several rooms need to be checked each period. We also need to check shower heads are being cleaned and sanitized on a monthly frequency. Fire checks There are no specific hotel fire checks for alarm call points and fire exits being clear. You need to check all the extra fire doors (every hotel room door) and call points are logged on the core information sheet (should be in the office), and tested in turn with the rest of the business.
