Manager Preparation cont.

Identify your key messages:

Once the initial preparation is complete, managers should spend time identifying key points to reinforce throughout the Looking Back discussion.

As an example:

• What are their key strengths? • What are their key areas of development – for their current job and for their next desired career step? • Is there anything that the employee should do more of, less of, or stop doing altogether? • Consider where and why to give praise and to thank the employee for their contribution during the year

Anticipate areas of debate:

It is inevitable that from time to time that the manager and employee will have different perspectives. Therefore, in order to take a constructive approach and avoid a defensive response to any point of debate during the Looking Back, the manager should take time to anticipate the likely topics.

When preparing managers should consider:

• How to communicate in a Greenline way inspiring Clarity and Commitment using the key skills of Hear, Enquiry, Acknowledge and Straight Talk • How they can place themselves in their employee’s shoes and try to understand his/her perspective? • Ways in which they can recognise effort and listen carefully to new information that may come to light that may influence your assessment • What they wish to acknowledge and how to position things in order for their employee to understand things from their perspective • Any debate is not a situation of conflict, therefore they should always maintain their professionalism and communicate with facts
