STAGE 4: ONBOARDING AND FIRST DAY

STAGE 3: HIRING

—Once candidates are moved to HIRED, they will receive an email with a link to our new hire portal. Ensure you reach out to your new hire to log in to Talent Central and e-sign all new hire forms as soon as possible. —The PAN form is assigned to your HR Representative, who will sign off on it once your new employee completes Section 1 and all other new hire forms. — I-9 : The Office Administrator will be assigned to complete the I-9 verification with the new hire on site. I-9 verifications are done electronically through TalentWise and must be completed no later than the third day of employment. — E-Verify : TalentWise will also complete the E-Verify process for all new hires. —First Day: Be prepared for your new hire. Give a tour of the property. Introduce them to the team. Make it a great day.

—Once there is agreement on a final candidate, the next step in the process is to complete reference checks and perform a background check. — Reference checks should be completed and saved in the Reference Check section of the candidate profile. —A Background Check must be completed on all external hires through TalentWise, our background screening partner. The link to launch a background check is embedded in the candidate profile under the TalentWise screening section. —Once the reference checks are completed and background check is CLEAR, offer details can be submitted for approval. If there is an Alert on the background check, contact your HR Representative. — Offer Letters are generated in Talent Central and routed to pre-established Offer Approvers . — Sending the offer : Once all approvals have been obtained the Hiring Manager sends the offer to the candidate through Talent Central via the Send An Email function by selecting one of the Field – Simon Property Group offer templates. — HIRING a candidate : Once a candidate has accepted the job offer, the Hiring Manager must move the candidate to the HIRED Status. This will alert the HR team to initiate the Onboarding/New Hire Paperwork process, as well as close the position in Talent Central and remove from all posting sites. To move a candidate to “Hired,” you must have a firm start date for the new hire and have proceeded through all prior Req Based Status stages.
