vii. March 17 is the deadline to have courses ready in the enrollment tool. b. Processing Drops/Withdrawals in MSVCC i.

Mark Smith discussed the importance of having distance learning offices process drops and withdrawals in the enrollment tool in a timely manner. Instructors have to sign off on the audit rolls in the enrollment tool, and the information is not correct since some withdrawals have not been processed. Mr. Smith asked about whether or not the information in the audit roll is captured at the time that the instructor clicks yes. Ms. Kimble said that it is supposed to be, but it doesn't appear to be now. Ms. Kimble will work with Ive Burnett to get a capture of data and lock down the audit after an instructor signs off on the audit. Also, she will work with Mr. Burnett to make sure the registrar role can see the audit information. Remind instructors to click yes on each course but also on the main page. A general discussion about processing audit rolls ensued. Tish Stewart mentioned that on February 22 nd , the server at Holmes was down so if any of your withdrawals were not processed, please let her know. Mark Smith asked how we plan to evaluate the participants. Will participants be given a pass/fail? Will students be allowed to continue if they fail? iii. Members agreed to add a module after the 4 th module to begin the capstone project which will extend the course to nine weeks. iv. Jennifer Leimer asked whether or not facilitators can offer their module in either platform. Members agreed that facilitators should be able to offer their module in their preferred platform. Ms. Kimble reminded members that students have to use both platforms and that it would be a good practice for instructors to have exposure to both. Kim Harris suggested adding an agenda to the introduction module identifying which platform each module will be presented in. Members agreed that there should be an introduction module available in both platforms. v. Kim Harris will contract with MSVCC to be the instructional designer for the training course. vi. Members discussed what we would like to see in the capstone project. Participants will be given a rubric for the capstone project. Participants will present a plan for how they intend to meet the objectives of the capstone project. We decided to add a new WEEK 5 Capstone Project outline/preparation and in it we plan to Explain what the project is, give a rubric for grading it and have students write a "plan" as to what they plan to do for their project. We discussed having the facilitators from weeks 1-4 evaluate this "project plan" submitted by the students. We then will shift the other modules to reflect the next week number. The final module is week 9 which will be the final cumulative project. We discussed this as consisting of a reflective 2 page paper on what the student learned and how this knowledge was applied in creating the final project "student module". We discussed this student module as being a revision of an existing course by incorporating items the student learned from the class or for students who do not currently have a class site, the creation of a module using knowledge and skills learned. We discussed having the facilitators of weeks 6-8 to be the ones to evaluate the cumulative project. i. Association members briefly discussed the audit process.
