(4) Virtual Errors – Erros in virtual enrollments are emailed to each school after each snapshot run (if any errors exist) Errors indicate the user and course in question Example: “error: no corresponding virtual record for external_person_key ___________ in course _________________. “error: no corresponding virtual record for external_person_key _______________ in course __________.  Is the external course key correct? Is there a typo in the ET?  Is the student information correct in the ET?  Does the user exist in BB?  Does the course exist in BB?  Audra said that they had this problem this summer were they corrected the information in the ET, but it never corrected itself. Stacey guessed that this was related to an SSN conflict and it had to be corrected in the back end. Stacey is looking for a long term fix on SBCJC being able to log in and correct the information.  Stacey said that she did put together a quick guide for checking Virtual Records. Terry Pollard will provide that information to the group.  Jennifer Newell said that she and ICC are having this problem. They have errors between EK1 and EK2 errors, which are correct in both schools SIS. How do we resolve this issues? Stacey said that they may need to check EK1 and EK2 in Bb. Audra asked how they should escalate those types of issues? (5) EK1/EK2 conflict appears in USERS virtual.invalid file. “SSN/EK1 already mapped in system to different dob/EK2”  Is the sssn and dob value for the user in the sis correct?  Lookup the EK1 value in the Identity manager user lookup tool to see who the conflict is with. If the same person, work with the conflicting school to determine which ssn/dob value is correct  Is existing user is incorrect, contact SBCJC with user information and correct EK1 and EK2 values  If new user is incorrect, update SIS with correct SSN and DOB values.  If data is correct in both SIS, you would need to send the correct EK1 and EK2 values to SBCJC with user id information. They will forward to Bb to correct the database. Tish asked what she wants her to send? The Identity Manager Bb ID (six digit Bb ID number), school, and username along with EK1 and EK2.  Audra said that they have had problems looking things up with the EK1/EK2 values. They’ve never been able to find the student. Stacey said to search from the dropdown menu to select SSN/MD5 field. Send to Terry & Christian and copy Usha & Stacey. Snapshot updates or removes records based on Data Source Key (example uns 211.USERS.TXT). o Snapshot updates or removes records based on the Data Source Key. Since it is in the same data source key, make sure that the user still exists in each snapshot files. This will ensure that the user/course is not disabled.
