Option 1: Keep the system setup the way it is. The courses will continue to rollover as they do now and he will take a snapshot (or freeze) of the semester information for the audit. If this is done, the ELCs will be able to view old semester information. However, the information cannot be modified. There will be a common date on the calendar as to when the snapshot will happen. Option 2: Move to individual semesters. All data is purged every semester this would include seat count, textbook, syllabus, etc. We would no longer use multiple terms. ELCs would have to rebuild everything every semester. This will prevent missed courses and allow for the information to be up-to-date each semester. We will still be able to go back to previous semester for audit purposes. Option 3: Same as option 2 but the ELCs can do a one-time batch import. Before proceeding with this option, it is important that each ELC talk to their IT Department. This would require someone to extract a .txt file from the local SIS and be uploaded into the Enrollment Tool for both courses and instructors. After the batch import, ELCs will have to make changes manually through the GUI. Christian would like for the ELCs to think about the options before making a decision. Once the option is made, there will not be the option to revert back to the systems previous settings. So the ELCs will vote in August which option will be chosen for the group. Ive would also like to know how far we want to go back to previous semesters. b. Other ET changes. Several questions were asked in regards to the Enrollment Tool. Can the dates be changed on the grades page, student profile, etc. to the calendar year instead of the audit year. Ive can make this change. The changes to the surveys will be available in the next couple of days. The modified date column on the grade details page has been tabled and will be removed until we have made a decision about whether to add this column. Instructors are able to change grades in the Enrollment Tool after they have been submitted. So the ELCs would like to have a “modified date” column to show the date the grade was changed. Holly made a motion to create a “Modified Date” column on the grade details page. Jennifer Powell seconded the motion. Motion carried. Jennifer Leimer made the motion to table the vote until August, but discussion will take place prior to the meeting. Krista seconded the motion. Motion carried.

If there are issues with the Enrollment Tool, provide Beverlin with a list of things that are not working in the Enrollment Tool. Ive will take a look at the list of issues.
