Media Advisories

Media advisories are used to send newsworthy information about an event or issue to the media for its use in covering the event or issue, but not for public publication . Public dissemination is the goal of a news release. Media advisories should be printed using the fillable form located at \\Market\departments shared folder\Public Shared Folders\Templates\Media Advisory Template.doc . To access the template, copy and paste the link into your browser. Or get the template on CityNet‟s Documents & Forms page under Public Affairs at http://citynet/docandforms/Pages/home.aspx . City logo should appear in the upper left corner of the media advisory. The following departments may use the City logo in conjunction with their department logo: Coliseum, Guilford Metro 9-1-1, Greensboro Transit Authority, Greensboro Police Department and Greensboro Fire Department. All others can only use the City logo. Set margins at 1 inch on all sides. Contact information should be included on the right hand side. Contact person and phone number will depend on the departmental contact for the event/program/initiative. The date should be included on the left hand side and should reflect the date you send the advisory to the media. The headline should appear in Arial 12 point italics font, centered above the body of the media advisory. The body of the media advisory should be written in Arial, 11 point, single- spaced. It should also be indented 1.25 inches. The City of Greensboro boilerplate should appear at the end of every media advisory (see template, next page). At the end of the media advisory, before the boilerplate, include three pound symbols, with one space between each: # # #. If you include a link to the City‟s external website, the page you link to must be updated before the advisory goes out. All media advisories must be sent to the City‟s Global Media Distribution List. If you don‟t have permission to send e-mails to the Global Media Distribution List, contact Jim Collins, Communications Manager, at 373-2105. Also, if you have your own distribution list that doesn‟t include the same e-mail addresses as the City‟s distribution list, you can also send your advisories to those contacts. The media advisory should only be one page.
