Table of Contents A B C D E F H I J K L List of Appendices G 5.2 The employee will normally not receive Supplemental Pay for more than three (3) months. Requests for extensions of Specialized Additional Work Assignment and Supplemental Pay beyond three (3) months must be submitted in writing and require approval of the P&C Compensation Manager who will consult with the P&C Talent Acquisition Manager as needed. The maximum duration of supplement pay is up to one year (12 months) and will be discontinued one year (12 months) after the date it began. 5.3 The work performed must be a defined body of knowledge requiring significant training commitments. The incumbent employee must possess the necessary training, skills and/or certification to perform the specialized additional work. The specialized skill and techniques acquired must easily be recognized as being outside the normal duties of the job classification. The duty assignments may not be associated with a position or job classification. 5.4 The Supplemental Pay must begin on the starting day of a biweekly pay period and will end on the last day of the biweekly pay period closest to when the employee ceases serving in an approved Specialized Additional Work Assignment. In situations where the approved Specialized Additional Work Assignment begins after the start of a pay period, the Supplemental Pay will begin on the first day of the next bi-weekly pay period following when the employee begins approved Specialized Additional Work Assignment. There will be no retroactive payments for Specialized Additional Work Assignment. 5.5 The Supplemental Pay will be calculated as a two percent (2%) of the Control Point for the position the employee is currently in and divided by 52 weeks to get an individual payment. The Supplemental Pay that is calculated and approved at the start of the Specialized Additional Work Assignment will not be recalculated during the duration of the initial Specialized Additional Work Assignment or upon approved extensions of Specialized Additional Work Assignment. 5.6 The City’s Supplemental Pay Program will end should budget constraints require elimination. 6.0 PROCEDURES 6.1 Prior to completing and sending Supplemental Pay Form to P&C Talent Acquisition, the department should work with B&E to ensure funds availability. 6.2 The Department Director who determines Supplemental Pay is warranted based on circumstances that meet the conditions of this policy will send a recommendation in writing to the P&C Department. See the Supplemental Pay Request Form . 6.3 The Supplemental Pay Request Form must be submitted to P&C Talent Acquisition fifteen (15) calendar days in advance of the beginning of any specialized additional work. 6.4 Notification should only be made to the employee after written approval is provided by P&C Compensation. 6.5 P&C Talent Acquisition will first review the Supplemental Pay Request form from an equal employment perspective.
