5.0 ORGANIZATIONAL RULES 5.1 Bereavement leave may be granted to an employee in the event of the death of an immediate family member(s) (as defined above). a) For Full Time Benefit Eligible employees a maximum of 40 hours of paid Bereavement Leave may be used if it is an immediate family member. For other family members, a maximum of 16 hours may be used. b) For Part Time Benefit Eligible employees the maximum of paid Bereavement Leave for immediate family members depends on the employee classification as follows: PT 20-20 hours, PT 25-25 hours, and PT 30-30 hours. For other family members: PT 20-8 hours, PT 25-10 hours, and PT 30-12 hours. c) The employee’s department may require documentation confirming the death of a family member and/or the relationship to the employee. 6.0 PROCEDURES 6.1 The City does not expect an employee to come to work when the employee has experienced the death of an immediate family member. However, the employee is expected to always call the supervisor no later than the regular reporting time if the employee will be absent from work. Due to operational necessity, certain departments may have a more restrictive reporting requirement. The employee should discuss departmental requirements with the supervisor. 6.2 Upon notification, the supervisor must approve and enter the Bereavement Leave into the City’s time-keeping system. If an employee is absent for an extended period, beyond the five days, the employee may use Sick Leave. During any extended absence, the supervisor should be in regular contact with the employee in order to monitor the anticipated return to work. 6.3 If the employee has complied with all of the procedures of this policy, the supervisor will approve the Bereavement Leave. If the supervisor is unsure of policy compliance, the employee should discuss this with management of the department or the designated contact in the People & Culture department. 6.4 If the supervisor suspects abuse of the Bereavement leave policy, the supervisor may withhold approval pending receipt of additional information. If the Bereavement leave is not approved or is pended for additional information, the supervisor will notify the employee in order to resolve the issue. If the Bereavement leave is not approved, the leave will be charged in a timely manner to paid time off according to the cascading rule or leave without pay as appropriate. 7.0 PEOPLE & CULTURE CONTACT Benefits - Leave Administrator
