Senior management within each division designates key functions as those that are critical to daily operations. In these situations, ICMA‑RC will assist, as appropriate, with the expense of transportation, hotel, and meal accommodations to support safe arrival to the office or alternative worksite. In addition, when the office is officially closed, considerations such as special compensation may be provided to associates who perform key functions. P P If the office is officially closed, those associates who are required to work due to key functions or by request from their supervisor or division management should report to work as arranged. P P If the office is open, associates who do not report must charge their hours to vacation or leave without pay. In certain circumstances, in lieu of leave without pay, an associate may make up time by working extra hours within the same pay period. The safety and welfare of ICMA‑RC associates is of primary importance. Associates are asked to use their best judgment and to observe all safety precautions when commuting to the office during hazardous weather or emergency situations. Responsibility of Associates In the event of severe weather or an emergency situation, associates are asked to take the following steps: P P Plan Ahead: Whenever possible, plan ahead by getting an early start to work, becoming familiar with alternate ways of commuting to work, and making alternate plans for daycare in case local schools or daycare facilities are closed. P P Listen to Voice Mail: During inclement weather or other local emergency situations, listen to voice mail in the early morning and periodically throughout the day for updates and other special instructions. Where applicable, associates will be provided with a long-distance access number to make business calls from home. P P Check Email: Associates with remote access to email should periodically check for messages during the day for an update on important changes or other special instructions. P P Coordinate with Supervisor: Associates at home because of inclement weather or an emergency situation should coordinate with their supervisors via voice mail or directly by telephone. Supervisors in particular should maintain a current list of all staff members’ telephone numbers and keep that list both at the office and at home. P P Keep Information Handy: You should keep at home a copy of ICMA‑RC’s inclement weather policy, important phone numbers, and information related to alternate sites. If you have questions regarding this policy, please contact your supervisor or the Human Resources Division. Field Associates The decision to close field offices early because of hazardous weather or emergency is left to the discretion of each regional vice president. Associates in field offices should check with their regional vice president, director, or manager about what emergency or hazardous weather policies are in effect for their locations. Hazardous weather conditions are a major impediment to safe and productive travel for field associates. In the event that travel plans must be revised due to weather conditions, you are expected to contact your immediate supervisor by phone and to work on ICMA‑RC business at home or at your regular office. If an issue concerning client satisfaction arises or is anticipated because of travel delays, you should notify your supervisor immediately. If hazardous weather conditions will interfere with a client meeting, you should promptly advise the client and discuss rescheduling.
