b. ET Fixes. Christian has not yet had the opportunity to check with Ive on the rest of the ET fixes, which included the roles listed on the spreadsheet. He is hoping that these changes can be completed by July 1. Jennifer Leimer requested that Ive provide each school with a list of individuals that are included in the roles that will be removed. c. Withdrawals and reinstatements in ET - Christian will discuss this functionality with Ive. They will turn this back over to us so that we can handle it, but freeze the roles during audit period. After the add/drop period, please do not automatically remove a student from away college courses without notifying the DLC. This is currently occurring without notification and causes problems!

d. Christian will check with Ive on the overall grade distributions for each course. Ive is working on this functionality within the ET.

e. A policy needs to be written about auditing online courses. Dr. McCrimon suggested the following, “page 9, #10 – Due to course integrity and security issues, the MSVCC prohibits the auditing of online courses.”

Phyllis makes the motion to approve the Policies and Procedures with all amendments; Michelle Mitchell seconded the motion. Motion carried.

VI.

New Business a. Grade Submissions Window in the ET (Holly). NEMCC is on a different schedule than the other colleges and has asked that we close the grading window in the ET on the Monday following the last day of the semester. Christian will turn off the grade window at 5:00p.m. on the Monday following the end of online courses. b. Data Import within ET. The computer center directors met and asked about the possibility of taking the self registration information provided in our student information systems (SIS) and rolling that data into the enrollment tool. This would take out the manual processes that occur in each of the eLearning offices. Christian’s biggest concern is that schools will fill all of the courses with their students and not provide 50% of the seats to away colleges. Dr. McCrimon asked if we could test this ability during the summer, so that we may begin before the fall semester. She also suggested that we form a small committee to discuss this ability. The committee will include Ellene McCrimon, Tish Stewart, Phyllis Johnson, Julia Parker, and Keri Cole. c. Allowing Guest Access for Courses. An institution asked Christian if we had the ability to allow guest access to online courses. The association asked what courses they would like guest access? Jennifer Leimer said that the reason why guest access was removed in the past was that guest access gave the user access to every course. The group requested that quest access not be made available.

d. Elections. Nominations are now open for the offices of Vice President and Secretary for the 2010-2011 year.
