a. Administration Committee report. The committee will continue to work on the proposal for the new position at the State Board office. The committee has concerns and questions that need to be addressed before bringing it to the group. The proposal should be ready by January. b. Changes to P & P manual. The Deans Association approved the manual with no changes. But the manual still needs to be presented to the Presidents for approval.

New Business

a. ET Recommendations

i. The roles except for the administrator role should not have access to change the college code in the Enrollment Tool. The ELCs all agreed. Lilly made the motion to remove the college code option from all roles in the Enrollment Tool except the administrator role; Alicia Shows seconded the motion. Motion carried. ii. No Shows-Is there a place in the Enrollment Tool that would allow instructors to mark whether they completed their no show reports or not? Currently there is not. Keri will take this recommendation to the Enrollment Tool sub-committee. iii. Allow ELCs to Readmit in the Enrollment Tool. Beginning in the spring, ELCs will have the right to readmit students in the ET. State Board is waiting for the audit system to be completed before allowing us to readmit students. b. Instructure. The company Canvas gave a presentation on their Learning Management System. Notes from the presentation: i. Notification preferences-how to be notified and when ii. my calendar-automatically updates my course calendar iii. courses-migrate from another LMS, can change the dates and it will change for all the content in your class. iv. Video Conference tool- voice, chat, video, app share, archive, etc.=no extra cost v. Mobile is part of the package and no extra charge. vi. Video and Audio feedback within the Speedgrader. vii. Cloud environment-guarantee that the system will be up all the time. viii. Outcomes and analytics (early warning) is part of the package. No extra charge. Analytics will be available in Jan. ix. You can download this as an LMS to play with at instructure.com. Click on Try Canvas Instantly. Click on “I am a teacher” or click on “Canvas For Instructors”. MCCB Business a. SP6 upgrade. Christian recommended that we not upgrade until after the spring semester. The Christmas break is a short amount of time to upgrade and does not allow enough time to test the system. The upgrade will take approximately 2 days. SP7 will fix 95% of our problems and so we need to wait until this SP has been tested before we upgrade. Until then Sean can run scripts to fix: i. Course templates-course menu color, text, buttons, etc. ii. Access errors-how the content is categorized in course files. Needs to run the script before spring semester. iii. Import/Export: can run a script so instructors don’t have the ability to import/export or course copy, this is an option for us. We will have to make a change to the course snapshot file. b. Blackboard Conference Call. The group had a few questions concerning the SP6 upgrade and scripts for the course templates and access denied errors. Sean from Blackboard was asked:
