WORK HOURS

The official work hours at ICMA‑RC are 8:30 a.m. to 5:00 p.m., Monday through Friday. Full-time regular

associates and full-time temporary workers are expected to work a minimum of 7.5 hours a day, for a total of

37.5 hours per week.

Each

associate generally receives one hour for lunch (or dinner) each day. Alternative work hours may be established

in certain circumstances as described below.

Early and Late Shift Assignments

In some divisions and departments, alternative shifts may be established to meet business needs.

Supervisors may set modified work schedules to extend phone coverage, meet daily processing deadlines, or

for other business reasons to ensure that the corporation appropriately serves its clients. The total number of

regular work hours each week will typically remain at a minimum of 37.5 hours.

Work Hours of Field Associates

Full-time field associates are expected to work a minimum of 37.5 hours per week. Most field associates, with the

exception of field support staff, are in exempt positions. It is, however, recognized that the nature of field work

does not conform to a set daily schedule. Field associates are expected to work the hours that meet client needs and

should coordinate with their immediate supervisor to establish appropriate weekly and/or monthly schedules.

Rest Breaks and Leaving Corporate Premises during Work Hours

Generally, short breaks during the day are not specifically provided, except for lunch breaks and breaks for

medical reasons. With their supervisor’s approval, associates can take a limited number of breaks of short

duration (e.g., one in the morning and one in the afternoon, generally limited to five to ten minutes) as

necessary and appropriate. Breaks, including smoking breaks, that exceed this number or duration, will

ordinarily require an associate to make up time at the end of the day.

In certain departments, it may be necessary to schedule specific breaks because of the nature of the work. For

example, to ensure appropriate telephone coverage in some areas of operation, it may be necessary to schedule

specific times for associates to take a smoking, coffee or snack break or to make a personal telephone call.

Supervisors have the discretion to limit or prohibit breaks on a case-by-case basis if they are deemed to impede

productivity or impair service to internal or external clients.

As an exception, and as arranged in advance with the immediate supervisor, an associate may shorten a lunch

break in order to leave early for the day. This provision is intended as an occasional accommodation only. This

accommodation may not be possible in all divisions or on a particular day because of specific business needs.

Smoking breaks must be restricted to approved locations.

Attendance Guidelines

At ICMA‑RC, where there is a mission-driven, customer-focused, fast-paced environment, it is critical that

all departments plan and schedule work to meet the needs of ICMA‑RC’s clients. The corporation, therefore,

takes tardiness and being at work very seriously — we want to be and must be there for our clients. Therefore,

the following attendance guidelines are in effect:
