5.0 ORGANIZATIONAL RULES
5.1 Recordkeeping Requirements - The FLSA requires specific recordkeeping requirements
designed to determine an employee’s eligibility for overtime compensation and if he is properly
compensated when it occurs.
5.2 Employee demographic records will be maintained by the Human Resources Department.
5.3 Time Worked Records (Timesheets) must be maintained for a minimum of five years. These
records should be returned to Payroll or may be retained in the department for five years. If a
department or division prefers to retain its own time records, a legal custodian of these records
must be identified (in writing) to Accounting.
5.4 Overtime Compensation Records - If the employee was paid for overtime work, Payroll will
retain the necessary records. If the employee is given appropriate compensatory time, the leave
system records will reflect this form of compensation.
6.0 PROCEDURES
6.1 Benefit Eligible Employees
A. Payroll provides a blank timesheet every four weeks listing the employee’s name, employee
identification number, and starting day and time of the designated work week.
B. Time sheets must be completed daily. Both the employee and supervisor sign the timesheet
at the end of the recording period.
C. The supervisor will give the completed and signed timesheet to the appropriate departmental
employee for entry into the payroll-personnel system.
6.2 Not Benefit Eligible Employees
A. Time sheets must be completed each day an employee works. Both the employee and
supervisor sign the timesheet at the end of the work period.

entry into the payroll-personnel system.
