2017-2021 FINANCIAL PLAN



The Digital Mailroom is a concept

where all incoming, physical

communication (mail) is centralized in

the mailroom, converted to digital

form by a document scanner, then

routed electronically to the

appropriate parties throughout the

organization based on established

distribution rules. A Digital Mailroom

will improve the City’s business

processes making them more

accurate, much faster and more cost

effective giving the City a competitive

edge as we grow the City of Surrey.

A Digital Mailroom turns paper into

digital data allowing for the

automation of the mailroom process.

This data can then be sorted,

distributed and stored instantly

creating departmental efficiency

savings in time and money; and



Corporate Scanning initiative seeks to

ensure that City Scanning is addressed

as a Corporate Service performed by

the Surrey Scanning Services division

in the Records Centre. Surrey

Scanning Services will ensure that

scanning is adequately documented,

and that scanning is accomplished to

industry standards, and in compliance

with legislation. Surrey Scanning

Services would reduce the growing

costs of outsourcing, reduce

departmental workloads, give the City

the ability to scan and upload directly

into City applications, reduce offsite

storage costs, resolve issues while

ensuring we meet legislative

compliance.
