LEAVING ICMA‑RC

Providing Notice

Employment with ICMA‑RC is by the mutual will of employer and associate, and both you and the

corporation are free to end your business relationship at any time. To ensure a smooth transition, ICMA‑RC

requests that a minimum of ten working days advance notice be provided when resigning. If an associate would

like to be eligible for future rehire, the ten working days notice is a generally required factor. The associate’s last

day of actual work will be considered the last day of employment. Associates are expected to be at work during

the ten-day notification period. Paid leave cannot substitute for any or all of the ten-day notification period.

The associate cannot take paid vacation time after the last day of work in the office; but accrued and unused

vacation time will be paid out at termination in accordance with the ICMA‑RC vacation policy.

When business needs dictate, ICMA‑RC may waive the notification period or shorten the ten-day period to

make the resignation effective immediately.

Before or at the time of resignation, ICMA‑RC asks that associates review the Code of Ethics. Many sections

within the Code of Ethics apply to associates after separation from ICMA‑RC employment; for example,

confidentiality obligations as to participants and non-public contracts with clients.

Letter of Resignation

All resignations must be written — either hardcopy or email — and addressed to the immediate supervisor,

and a copy should also be sent to Human Resources. The letter should indicate the effective date of

resignation and, if appropriate, a new mailing address. If a new address is not available at the time of

resignation, the associate is responsible for notifying Human Resources when address information is available.

This is important for prompt delivery of year-end tax forms and other related correspondence.

Exit Interview

Each associate leaving the corporation is strongly encouraged to participate in an exit interview and to

complete an exit interview form, both of which are confidential. Human Resources will normally schedule an

exit interview either in person or by telephone. The exit interview will include information about the possible

continuation of specific benefits. In the event that a meeting is not possible, an exit packet will be mailed

promptly to the last known home address.

The exit interview helps ICMA‑RC learn more about what led to the associate’s decision to resign and to

solicit suggestions for changes to make ICMA‑RC a better place to work. The completed form should be

submitted directly to the appropriate HR manager.

A Human Resources representative will provide important information to terminating associates related to
